Nurses often underestimate how long it takes to collect, apostille, and translate all required documents – and a missing or incorrectly formatted document can delay your entire application by weeks or months.

Understanding Two Essential Requirements Before We Begin

What is an Apostille?
An apostille is an official stamp or certificate attached to a document to verify its authenticity for use in another country. For India-to-Germany purposes, all official Indian documents must be apostilled by the Ministry of External Affairs (MEA), India – or the state authority designated for this purpose. The apostille confirms that the document is genuine and has been issued by an authorised body.
You can get apostilles through the MEA’s online portal (apostille.mea.gov.in) or through designated state authorities. Processing time is typically 1–3 weeks. Start this process early – ideally in parallel with your B2 language training at the B1 stage.

What is a Certified German Translation?
Germany requires that all documents submitted in a foreign language (including English and Hindi) must be accompanied by a certified German translation. A certified translation means it has been done by a sworn or certified translator (vereidigter Übersetzer) who is officially recognised in Germany. Indian translators – even qualified ones – are generally not accepted by German authorities. Use only certified German translators whose credentials are recognised in Germany. Important Notes on Document Preparation

⚠️ All documents must show consistent spelling of your name across every document. Even a minor spelling difference (e.g., ‘Priya’ vs ‘Priya Sharma’ or ‘Kumari’ vs ‘Kumar’) between documents can cause your application to be rejected or delayed. Check carefully before submitting.

  • Documents that have expired (particularly SNC registration) must be renewed before apostille and translation
  • All apostilles must be on the original document or a notarised copy – photocopies without apostille are not accepted
  • Translation must be done after apostille – not before
  • Keep at least 3 sets of all apostilled + translated documents – one for the state authority, one for the embassy, one backup
  • Digital copies of all documents should be stored securely – some German authorities now accept digital submissions
